User Import

Who can use this feature?

Only the Application Owner role can use this feature.

In order to quickly onboard important stakeholders to your ITONICS platform, you can use the dynamic user upload import that adapts to your specific user configuration.

How to import users?

Follow the steps below to smoothly import users into ITONICS.

Go to Settings > User Management > User Import to open the user import page (1)

Download the import template by clicking on the “Generate Import Template” button on the right-hand side. (2)

The generated import template consists of the following columns:

  • ID: The ID column expects a positive integer value.
  • User Name: The User Name column expects the user's username as a string. This column is mandatory.
  • First Name: The First Name column expects the user's first name as a string. This column is mandatory.
  • Last Name: The Last Name column expects the user's last name as a string. This column is mandatory.
  • Email: The E-Mail column expects the user's email address as a string. This column is mandatory.
  • Profile Image: The Profile Image column can be populated in two ways:
    • Add an external URL link to an image that's available online (Right-click on the image > Copy Image Link).
    • Add a local image file that should be present in the image directory. You can upload a zip file containing your image files via Settings > Export / Import Data > Zip / Image Imports to populate the image directory. The zip file is automatically unzipped. If you have an image "green-supply-chain.png", it should be populated in that directory, whereas in the excel file, you will just write "green-supply-chain.png".
  • Banner Image: The Banner Image column can be populated in two ways:
    • Add an external URL link to an image that's available online (Right-click on the image > Copy Image Link).
    • Add a local image file that should be present in the image directory. You can upload a zip file containing your image files via Settings > Export / Import Data > Zip / Image Imports to populate the image directory. The zip file is automatically unzipped. If you have an image "green-supply-chain.png", it should be populated in that directory, whereas in the excel file, you will just write "green-supply-chain.png".
  • Company: The company column expects a string value.
  • Job Title: The job title column expects a string value.
  • Business Unit: The business unit column expects a string value. This column is mandatory.
  • Region: The region column expects a string value.
  • Interest: The interest column expects a string value. You can populate this field with multiple values by separating them with a semicolon.
  • About: The about column expects a string value.
  • Phone Number: The phone number column expects a numeric value.
  • Roles: The role column expects an existing role as a string value.
  • Groups: The group column expects a string value. If a user is part of multiple groups, you can add multiple groups by separating them with a semicolon.

Prepare the excel file and save it. (3)

Upload it to the platform by clicking the Choose file button. (4)

Select the unique identifier to identify existing users (5):

    • User ID
    • Username
    • E-Mail

Choose to create non-existing user groups: If a mentioned user group does not exist yet, the user group will be created during the import (6)

Choose to skip/ignore existing users: Existing users, identified with the selected unique identifier (see 5), are ignored during the import and therefore not updated. If you want to update the existing user profiles, you should not check this option. (7)

Choose to notify users about the account: Notify users that they have been added to the platform. (8)

After finishing all the steps from above Upload the excel file to the platform by clicking the Import button.

If the import was successful, you'd get a pop-up confirmation.

If the import identifies errors, warnings, or missing values the import will be canceled by showing the identified issues.
